On-the-Fly Records Double Dumbs

On-the-fly Records/Double Dumbs

Purpose:

Entering barcodes into item records that are not in the Sierra system.

Overview:

On occasion items will be brought down by a patron that does not have a barcode or the item is not in the system.

An item without a barcode or not in the system, Sierra, single or double dumb barcode

Procedure

1. After scanning Patron’s barcode and item barcode:

a. ‘Item-on-fly’ screen will pop up.

b. Click the “New” button at the upper left of the screen.

c. Scroll down and choose “moflyb: Main On-the-fly Bib” for books or “medfly: Media- On the Fly” for media items

d. Enter the current date.

e. Change “Mat Type” to reflect the item type.

f. Enter author's name last name first.

g. Enter the title of the item.

h. Enter the Call number of the item (Located on the spine.)

i. Select location item is housed at.

j. Determine copy number.

k. Select format.

l. Click the “Save” button in the upper middle of the screen.

m. Select “OK” for the On The Fly box.

n. Place hold on the item (see Holds. Hold shelf).

o. When an item is returned it will need to go to Technical Services to have a complete record attached to it before it is returned to the stacks.

2. After scanning Patron’s barcode and the item does not have a barcode:

a. Scan the new barcode starting with 35092. These can be located in the Day Managers file cabinet at the desk.(they can also be found in the drawer with all of the master copies)

i. If the item has a White Check out the card in the back of the book in a pocket use the Double Dumb barcodes, which are on a sheet with two of each barcode. One goes into the book on the inside back cover while not covering up any vital information and the other goes onto the White Check out the card.

ii. If the item does not have a White Check out card place a single barcode, which is on sheets with individual barcodes on them, into the inside back cover of the book without covering up any vital information.

iii. If the item is not a book use a single barcode and place it on the item where other similar items have them.

b. ‘Item-on-fly’ screen will pop up.

c. Click the “New” button at the upper left of the screen.

d. Scroll down and choose “moflyb: Main On-the-fly Bib” for books or “medfly: Media- On the Fly” for media items

e. Enter the current date.

f. Change “Mat Type” to reflect the item type.

g. Enter the author's name last name first.

h. Enter the title of the item.

i. Enter the Call number of the item (Located on the spine.)

j. Select location item is housed at.

k. Determine copy number.

l. Select format.

m. Click the “Save” button in the upper middle of the screen.

n. Select “OK” for the On The Fly box.

o. Place holds on the item (see Holds. Hold shelf).

p. When the item is returned it will need to go to Technical Services to have a complete record attached to it before it is returned to the stacks.
