ASRS Item Retrieval via EMS Control Center

Purpose:

To retrieve a specific item from the ASRS through the EMS Control Center software using a barcode, title, or another identifying factor of the item to be retrieved.

ASRS Item Retrieval via EMS

Overview:

Circulation Manager will log in to EMS Control Center and use the filter editor in the Inventory tab to find the desired item using the available information about the item. The manager will then make a pick request for the item.

Safety Issues/Precautions:

Working with the ASRS is inherently safe as long as the basic safety guidelines all students are taught in orientation are followed.

Procedure:

Requesting items from the ASRS manually through the EMS Control Center application is done most efficiently when using the item number or barcode from the item. However, you can use a multitude of other attributes such as the title,
author, or last pick date and time as well. Using these methods can be challenging due to inconsistencies in how information is imported into the ASRS database from Millenium that result in shortened titles and varying use of capitalization. On top of that the filter system that is used in the software is very unforgiving and requires some getting used to.

Item Number (Preferred)

1. log in to the EMS Control Center software with the username: ccirc password: clrcirc

2. Click on the Inventory tab.

3. Open the filter editor button on the toolbar below the list of tabs in order to create a filter that will display the desired item.

4. In the filter editor menu, three columns will be visible, click on the drop-down menu on the left and click on the Item Number option.

5. Now the middle column will have a drop-down option, click this and select the Equal option.

6. Now the column on the right will have a text box, enter the barcode from the item that you want to request.

7. Click on the accept button.

8. If entered correctly, this filter will now only display one line of inventory that is the item that is needed.

9. Right-click on the line that displays the item’s information and click on Add Pick Request to bring up the Pick Request window.

10. Click on the Ok button and the system will enter a pick for the item.

Title or Author

1. log in to the EMS Control Center software with the username: ccirc password: clrcirc

2. Click on the Inventory tab.

3. Open the filter editor button on the toolbar below the list of tabs in order to create a filter that will display the desired item.

4. In the filter editor menu, three columns will be visible, click on the drop-down menu on the left and click on the Title, LC Call Number, or Author option.

5. Now the middle column will have a drop-down option, click this and select the Like option.

6. Now the column on the right will have a text box, enter a significant portion of the title, LC Call Number, or author followed by the * sign.

a. This method is necessary due to the inconsistent importation of information along with the stringent filter system.

b. Some variation in length and capitalization of the title or author may be required in order for the filter to allow the correct item to be displayed.

c. Persistence and creativity are key here as multiple filters may end up with no results or inaccurate results.

7. Once the needed item is displayed right-click on the line that displays the item’s information and click on the Add Pick Request to bring up the Pick Request window.

8. Click on the Ok button and the system will enter a pick for the item.
