Consult either the printed email Course reserve Request Form or hand written Christopher Center Request Form filled out by Prof/TA.

Adding Reserve Items Owned by Library

  1. Find the course and click on it in the Courses list.
  2. In the Items section, either scan the item barcode into the box, or enter the barcode and click Add item. The item is added to the course and appears in the Items section.
  3. After adding the item go into edit within the course reserve
  4. Under Temporary location Choose either: Reserve-circ desk-2nd floor (for any book that is being added to reserve) OR Reserve-media desk-1st floor (for any DVD or other media item that is being added)
  5. Click on Save & Close

Editing reserve loan length

  1. Click on item title
  2. Under Actions click on edit
  3. Scroll down to Item Data
  4. In the Material type drop down menu scroll down until you are able to choose the appropriate reserve type.
  5. Click Save & close

Adding a Reserve Item to a Course using Fast Add

The Fast Add option is used for personal copies of materials and other materials not part of the library’s general collection, which include books, files (for which there may be multiple copies), and other resources. When you create the item, the Courses app creates the instance, holding, and item in Inventory for you, and then adds the item to the course.

  1. From the associated course, scroll to the bottom and click Add Fast Add item.
  2. From the New fast add record, fill in the following:
    1. Instance
      1. Deselect Supress from discovery
      2. Resource title
  • Resource type- use ‘Other’
  1. Contributors (authors/editors) – fill in name and name type
  1. Holdings Record
    1. Permanent location is the appropriate reserve desk
    2. Call Number type will generally be Library of Congress Classification that is found when searching WorldCat.
  • If the item is a file or individually created item use ‘Other scheme’
  1. For Files the call number will be the folder number that is used and can be found in the reserve area on the north wall of circulation.
    1. Single copy will go into Folders that are labeled 1-199
    2. Two copies will go into Folders that are labeled 200-299
    3. Three copies will go into Folders that are labeled 300 and up
  2. If the item is a personally created binder use the course number as the call number.(i.e. BIO 451)
  3. Call numbers are written on white tape located on the desk of the reserve manager.

    1. Barcode will be on the paper attached to the back of the material or the appropriate file folder, as applicable.
    2. Material type will be the appropriate loan length: 2hr, 2hr/overnight, or 3-day
  • Permanent loan type will be Course Reserves
  1. Note type: Check in note
  2. Note will be Reserve
  3. Click on Staff only
  1. Once you have included all of the information needed for the item, click Save and close to create your inventory records and add the item on reserve for the course.

Notes

  1. Reserve items added to the course are automatically assigned with the Start Date and End Date of the Term you selected, as specified in the Term settings. If needed, you can edit the dates by editing the reserve item.

Any item assigned to a Course automatically has its temporary location set to the value specified in the Location field. If needed, you can change the temporary location by editing the reserve item

 

Preparing the Personal items for reserve:

  1. Write down Call Number on the white vinyl book tape so that it will fit on the spine of the book. If the book is too thin for it to fit on the spine, it will go on upper left corner of the book's front cover.
  2. Cut off call number carefully with scissors.
  3. Attach Call Number tape to book. (If it will fit on spine place tape so there is an inch of space between the bottom of the tape and the bottom of the book.)
  4. Place a piece of scotch tape over the Call Number tape to keep the call number from getting smudged.
  5. Using a small amount of Rubber Cement attach the bar coded book pocket to the inside back cover of the book.

Preparing all item for reserve:

  1. Choose Reserve Time Limit slip that corresponds to Material type loan length
  2. Using a small amount of Rubber Cement, attach Reserve Time Limit slip to the back page of the book being sure not to cover up bar code or any information from the item. (This may involve creative placement and/or shortening of the Reserve Time Limit Slip. Try to not remove any information on Reserve Time Limit Slip.)
  3. Place on section of Reserve tape (using enough to have the entire word “Reserve” on the item) on to the bottom portion of the spine of the book.
  4. Try to not cover up the Call Number tape located nearby. (This may involve creative placement of the Reserve Tape.)
  5. Place book behind the Circulation Desk on the Reserve Shelves according to Call Number.
  6. Initial and date with today’s date either printed email Course Reserve Request form or hand filled out Christopher Center
    Reserve Request Form filled out by Prof/TA.
  7. Place initialed Course Reserve Request form into the slot on the Weekend Manger's desk, inside the cubby marked “Reserves Complete”.
