Renewals
Department:
Circulation
Purpose:
Different patrons have different renewal policies. This provides information about the differences in renewal practices.
Overview:
Affiliated borrowers are allowed one remote electronic online renewal through GALILEO for books that are not overdue. Items must be presented at the library for other renewals. Telephone and letter renewals are not allowed. Staff and students are allowed two remote electronic renewals instead of just one. Faculty have four remote electronic renewals for books and CD-ROMS and two remote electronic renewals for Stager Collection books, VHS, CDs, LPs, and audiotapes. Renewals for faculty ONLY can be done over the phone by a Circulation Manager only. Items with hold or recalls may not be renewed by any patron.

Remote electronic renewal
Library cardholders may renew their own materials online. All material may be renewed except for materials with reserves and materials on which you owe fines.
1. Log in to your account by clicking on the Renew Books Online account on the libraries home page http://library.valpo.edu/ .
2. You will see a link marked "Items currently checked out" with the number of items you have checked out. Click the link to view the materials you have checked out.
3. Select the materials you want to renew by checking the boxes in the RENEW column and then click the Renew Selected button. If you want
to renew everything, click the Renew ALL button.
If you are successful, a new due date will appear in the "STATUS" column. Always check the STATUS column for information on the success or failure of your renewal.
Renewal at Circulation Desk
1. Click on the Renew button on the left hand side of the Sierra window.
2. Scan barcode of the book.
3. Hand back to patron telling them the new due date.
4. Renewals cannot be processed at the desk without the book being physically present.
5. If you cannot renew items, one of the following messages will appear on the screen.
a. Item .i1016763 is on hold for another patron, do not renew item to patron, instead print hold receipt and place on hold shelf for next
patron.
b. Item .i1016763 is in use by the system, make sure this item and/or patron record is not open on any other workstations.
i. To free records in use by the system manually follow these steps:
ii. Click on Admin in the toolbar.
iii. Click on Free Records in Use.
iv. From here you use either the barcode or bib record, item record, or patron record number associated with the record that is in use by the
system.
1. This number is displayed whenever the message is displayed telling you that the record is in use, so write it down and input it at this
step.
v. There is also the option to release items based on their barcode, so scanning the patrons ID or the barcode for the book will also free the record associated with that barcode.
c. This item is currently checked out to this patron. It is too soon to renew. You can renew the item anyways and/or check it in then check it back out to patron.
d. Item .i1016763 has too many renewals. Check item in and back out to patron assuming there are no holds.
e. The selected item is 11 days overdue. Fine is $1.00. Click on Renew and Add Fine to renew the item but add the fine to the patron’s record. If item is one that we waive fines for, click on Renew with no fine.
This procedure uses one of the patron’s online renewals, which is why we recommend to the student assistants to check in and check back out the book. If a patron has used all of their online renewals, or the book is overdue and cannot be renewed, simply check the book in and check the book back out to the patron if there are no holds or recalls on the book.
