Purpose

The Christopher Center has three exits which are monitored with security gates to ensure items are not removed from the building without being checked out.

Overview

The security gates at each exit will beep if items that are not desensitized are taken through. This is to help ensure that items are checked out before being taken from the building. The security gates also keep track of how many times people enter and exit the building. It is the Circulation Desk’s responsibility to make sure the counts are taken, the gates are cleaned, and no one goes out of the gates when the alarm beeps.

Procedure

  1. Security Gate door counts:
    1. Door count form is located in the top drawer of the left filing cabinet beneath the cash register (the same drawer in which the cash register key and “Black” bag are located).
    2. The door count sheet is a series of tables broken down by week, days of the week and location. Be sure you are logging the data in the correct spot.
    3. “Main Entrance” refers to the security gates directly in front of the Main Circulation Desk on the 2nd floor.
    4. When standing directly in front of the security gates (with the Board of Director’s Room on your right and the Main Circulation Desk on your left), walk to the security gate located closest to the Main Circulation Desk.
    5. Near the floor of the interior panel on the right side, there is a small display screen that will switch back and forth between the following displays: “AXXXXXX” and “PXXXXXX”, where X symbolizes actual numbers that will be displayed.
    6. On the door count sheet, in the correct day and location (Main Entrance), record the “PXXXXXX” data ONLY.
    7. “ASB Entrance” refers to the single security gate near the freight elevator on the 2nd floor.
    8. From the Main Circulation Desk, turn right (west) and go down the hallway past the Microfilm room toward the freight elevator.
    9. The display screen is located near the floor of the interior panel of the right security gate.
    10. Take a picture of the “PXXXXXX” and email it to moecirc@valpo.edu
    11. On the door count sheet, in the correct day and location (ASB Entrance) as well.

     2. Media door count data from the security gate.
                 a. Door count form is located in the top drawer of the filing cabinet below computer.The door count sheet is a single, large table broken down by week and then days of the week. Please be sure data is being logged in the correct location

                 b. The Media security gate is located just inside the 1st floor entrance between Grinders and the stairwell

                 c. Near the floor of the interior panel on the right side, there is a small display screen. This screen is different from the security gates on the 2nd floor. It is not digital and the numbers do not switch back and forth as the digital ones do.

                 d. Take a picture of the displayed data and email it to moecirc@valpo.edu with door count as the subject.

                 e. Record the displayed data in the proper location on the door count sheet.

                 f. Return the door count sheet to the top drawer of the filing cabinet under the computer behind the Media Desk.

     3. Tabulating and Recording Door Counts

                 a. Each evening, collect that night’s closing door count sheet numbers.

                 b. Enter the daily total on this Google sheet. It requires you to be logged into a Valpo gmail account (your own, moe circ, library@valpo.edu, etc.)  to access.

                 -For each entry, note if it is a non-typical day, i.e., Focus, interim or class break, closing early for inclement weather, etc. If it is a typical day, leave this entry blank.

                 c. The spreadsheet to view door count stats from 2020-present is available here (daily totals are calculated on the second tab).  The 2019 spreadsheet is available here (has 3 tabs- one for the whole year, one for January-June, and a third for July-December).  Both spreadsheets require you to be logged into a Valpo gmail account to access. Prior to 2018, stats are saved in a spreadsheet on the S drive.

                 d. Collate the sheets for each semester and place them in the folder in the file for that semester. 

  4. The manager responsible for the Administration statistic reporting will enter each year’s totals on the Excel sheet Located at: S:\CCLS\Statistics\Circulation\Annual data from Circulation.xls.

  5. Security Gate Cleaning:

                a. In supply closet in the ASRS Loading Area find:

                        1.) Canned Air Duster

                        2.) Security Gate Key on white key ring (found in office closet labeld 'gate key')

                b. Take key and duster to Main Entrance Security Gate.

                c. Insert and turn key to “0” position.

                d. Remove cover from fan via turn screws.

                e. Dust off air filter from fan.

                f. Dust off fan mechanism.

                g. Return both air filter and cover.

                h. Tighten turn screws.

                i. Turn key to “1” position and remove.

                j. If second air vent needs cleaning, bring a screwdriver from the tool bag located on the North wall of the Circulation Desk. Repeat steps a-I with non –turn screws and screwdriver.

               k. Repeat steps b-j on ASB Hallway Security Gate.
6. Alarm:

               a. If alarm sounds call patron back from door.

               b. Ask patron if they have anything from the Book Center or another library.

               c. Ask patron if you can look through their bags to find the source of the alarm.

               d. If Christopher Center items are found verify that they have been checked out and desensitize if so.

               e. If items have not been checked out offer to check them out to patron.

               f. If no items are found, alert patron to the possibility of them being stopped again in the future.
