Purpose

To change location codes and loan rules of items already stored in the ASRS

Overview

There are times when items that are already stored in the ASRS need to have location codes changed in their record either because they need new loan rules or a pre-ASRS location was never put into the record. This procedure may require both the Circulation department and Technical Services Librarian.

Access to Sierra as well as appropriate permissions.

Procedure

1. If there are a large number of records that need to be adjusted, follow the create list procedure to create a list using the correct perimeters for the items that need to be updated.
2. Go into the ASRS Maintenance module and click on “Remove Items from ASRS location.”
3. If a list is created due to the number of items to be changed, leave the “source” as Review and in the drop down menu find the list that will need to be removed from the database. If a list wasn’t created, skip to step 10.
4. Click on Process
5. Once the list has been processed, the Technical Services Librarian will do a Global Update to change the location code to the appropriate place.
6. When notification from the Technical Services Librarian has come through, go back into ASRS maintenance and click on “Add items to ASRS location”
7. Use the drop down menu to locate the correct list
8. Click on Process
9. Once the Process is complete, close out Sierra and the procedure is finished.
10. If there are only a few items to be changed, click on “Remove from ASRS Location.”
11. Change the source in the drop down menu from “Review” to “Scan”
12. Type or scan each barcode into the large white text box
13. Click on “Search”
14. Once the item has been removed, the status will be noted as Removed.
15. Leave the ASRS Maintenance Module and go into the search function under Circulation
16. Using either the barcode or title search for the item that needs to be changed.
17. Double click on the location box and scroll though until you can click on updated location.
18. Save changes
19. Go back into the ASRS Maintenance module and change the source from “Review” to “Scan”
20. Add the barcode back into the ASRS database.
21. Close out of Sierra
