Distance Learners

Purpose:

The Christopher Center allows currently registered distance students to check out items from our collection and have them sent to be able to do the necessary research for their degree.

Overview:

This procedure discusses how students can apply for distance learner status and receive the appropriate material.

Procedure

1. Student first must request distance learner status from ILL using the following link http://library.valpo.edu/forms/docdelivery.php this is located in the Inter-Library Loan site under Document Delivery.

2. When the student is approved as a distance learner by ILL, the ILL manager will email moecirc notification of approval. This email is saved in the Distance Learner Folder of moecirc located on the left-hand side.

3. All requests will be sent to and processed out of moe circ.

4. When a request comes in the appropriate manager will begin to process the request. 

5. To process a book request:

a. Using the information sent in the request have a student go and pull the books.

b. The name of the student and the call numbers will then be recorded in the spreadsheet in S:\CCLS\Distance Learners.

c. The email will be copied into a word doc and placed into the same folder.

d. When the books are brought down, they are checked out to the distance learner.

e. Once they are checked out, the manager in charge fills out the due date return policy bookmark from S:\CCLS\Distance Learners.

f. The return label is placed on the front of an envelope and the return policy is placed in the front cover of the book. Return labels are currently located in the day managers' file drawer.

g. Both the envelope for returns as well as the requests are placed into a second envelope and addressed to the distance learner and placed into the US mail without postage box.

6. To process a microform:

a. Microfiche and microfilm requests under 40 pages will be scanned and placed in the ILL Scan folder to be sent to the distance learner electronically.

b. For items over 40 pages the index will be scanned so the distance student is able to narrow the request to the appropriate length. This scan is also placed in the ILL scan folder.
