Checking In and Out Maps

Purpose:

To correctly check in & out the map collection

Overview:

Once brought to the circulation desk, maps taken along with due date will be noted on the purple map slip and placed with the tube/folder used. Barcode on the tube is scanned for checkout and due date is modified accordingly. Upon return of maps, contents of tube/folder will be checked to ensure all maps are accounted before checking in.

Equipment/Supplies:

Computer with Sierra, Map tube/folder, Purple map slips

Procedure:

1. When a map(s) is brought to the circulation desk for checkout, a purple map slip will be filled out, detailing which maps are being taken along with the due date.

2. A map tube/folder that fits the materials should be selected.

3. Insert the filled out purple map slip in the pocket on the map tube/folder and inform the patron that this slip must accompany the maps upon their return.

a. Original with due date written on the bottom should be placed in box currently located on Sam’s desk.

4. Scan patrons ID, and then scan barcode on the map tube/folder.

a. Modify due date to match agreed upon date of return.

5. When maps are returned, compare purple map slip with the contents of the map tube/folder to ensure they match.

a. Check in map tube once contents are verified.

b. Place the copy with date returned added to the slip in the box with the original.

6. Return map tube/folder to the corner and take the maps downstairs and put them in the to be shelved box on top of the map case.
