Book removal using HK database computers

Purpose:

There are times when the library will be Removing books from the ASRS

Overview:

This procedure is to be used as training for students who will be removing large parts of the collection from the ASRS when needed

Required Knowledge/Skills:

Access to the ASRS module in Sierra. Basic ASRS knowledge and access to ASRS computers.

Computer with Sierra installed

Procedure:

1. Click on the containers tab, towards the top of the screen.

a. Click on the filter editor button on the toolbar below the list of tabs in order to create a filter that will display the desired container.

2. In the filter editor menu, three columns will be visible, click on the drop-down menu on the left and click on the +ASRS Location option, and select Aisle.

a. Now the middle column will have a drop-down option, click this and select the Equal option.

b. Now the column on the right will have up and down arrows to indicate a number, choose the appropriate aisle the container should come from.

3. Click on the + icon to the right of the final column in order to add another level of the filter.

4. In the new field, click the drop-down of the far left column and select the +ASRS Location option, and select Bay.

a. Now the middle column will have a drop-down option, click this and select the Equal option.

b. Now the column on the right will have up and down arrows to indicate a number, choose the appropriate level the container is in.

5. In the new field, click the drop-down of the far left column and select the +ASRS Location option, and select Bay.

a. Now the middle column will have a drop-down option, click this and select the Equal option.

b. Now the column on the right will have up and down arrows to indicate a number, choose the appropriate side the container is in.

6. Click on the accept button to apply the filter to the container list.

7. Click on the row to highlight it.

8. Towards the bottom of the screen is an Add Audit button, click this will bring up the appropriate bin.

9. Click on the Work Order Tab highlight and delete the scheduled Audits.

10. Click on the Inventory tab

11. Chose the “Create Filter” Icon it looks like a calendar with a funnel.

12. In the first drop-down box choose “Item Number”

13. In the second drop-down box choose “Equal To”

14. Make sure the cursor is in the third box and scan the first book.

15. Scan the barcode in the book

16. When the next screen pops up right-click on the item that comes up

17. Click on “add pick request" on the screen that pops up.

18. Click on “OK”

19. Continue to do this until all books that you are going to be removing have been scanned.

20. Switch over to the Operations tab

21. Make sure the cursor is blinking in the box just under the bin screen.

22. Hit the enter button to force the orders through.

23. In the same order that they were originally scanned pick them from the bin.

24. Put the receipt into the book and load the book onto a book cart.

25. When a cart is filled it can go to the front of circulation to remove the books from the ASRS Database

26. Using the scroll bar on the left side of the screen locate the ASRS icon. It is the second from the bottom.

27. On the ASRS screen click on “Remove items from ASRS”

28. On the Source drop-down switch from “Review” to “Scan”

29. Scan barcode

30. If the book scans correctly after a few seconds it will appear on the screen below review that it has been removed. Every book will create a new line.

31. Once all books on the book cart have been scanned, transfer the books onto the appropriate wooden truck in the Microform room.
