Procedure for withdrawing a single item volume of a periodical

Procedure: Withdrawing a single issue/volume of a periodical

Purpose: This procedure shows the steps it takes to withdraw an issue/volume of a periodical that’s housed in the ASRS from our collection

Overview: When removing a single issue or volume of a periodical becomes necessary, there are 5 steps to take to make sure it is done correctly as to not cause confusion to our patrons.

Required Knowledge/Skills: Knowledge of the Innovative Sierra software and basic cataloging skills.

Safety Issues/Precautions:

Equipment/Supplies: Computer with Sierra software installed.

Procedure

Step 1: Through Sierra, request the item to be withdrawn from the ASRS. To do this, in the cataloging module of Sierra change the drop down menu from “ALL” to “HOLD”. The “REQUEST FROM ASRS” button will appear. Highlight the item you want to request from the ASRS and click on the “REQUEST FROM ASRS” button. Follow the screen prompts. You can also go into the public display by going to “view” and clicking on “public display” and hit the “Request from Storage” button next to item that you want.

Step 2: Remove item from ASRS. (See “Procedures for removing items from the ASRS”)

Step 3: In Sierra Cataloging module, delete the item from the bibliographic record and update holdings record if necessary. For more information on see “Procedures for withdrawing materials from our collection” procedure.

Step 4: Notify the person responsible for maintaining Serial Solutions with the title, ISSN and volume/issue of the item that was withdraw, so she/he can update Serial Solutions.

Step 5: Take stats on the item that you have withdrawn.
