Department: Technical Services

General Receiving Procedures (i.e. receiving Boxes)

Date: 7 Aug 2006
Revised: 3 Dec. 2019

1. Receiving Boxes

a.  Check the mailing label on the package, BEFORE you sign for any boxes.

b.  Unless prior arrangements have been made, do not sign for boxes addressed to departments or individuals who do not have offices in the CCLIR, even if the address is 1410 Chapel Drive.

c.  Unless boxes are exceptional large and heavy, they should not be left on the floor.

d.  When there is a large delivery of Yankee GOBI boxes, ask the delivery personnel to take them to the cataloging specialist's area and place them there.

d.  For all packages whether they required a signature or were dropped off on the mail receiving table, follow the procedures below to get it delivered appropriately.

2. Mailing Labels

a.   If the mailing label indicates, 'Library Receiving' on the label, regardless of a name, place the item(s) on the flat Book Order Truck in Technical Services. These boxes may include Standing Orders, GOBI Yankee PromptCat,, Amazon and Government Documents.
-Write the received date on the outside of the package/box.
b.  If the mailing label indicates that the package is for Interlibrary Loan (ILL), or it is from another library, put it in the red container adjacent to the mail table.

c.  If the mailing label indicates that the package is not from a book supplier (Staples, Demco, etc.), check the 'Deliveries' folder on the mail rolling cart to see what other deliveries are expected.
    - If the delivery contains supplies for Technical Services, unpack the box and check the contents against the packing slip invoice, check off all items so the Admin. office knows we received everything that was ordered.  If some items are on backorder, note that on the slip and              place it back in the deliveries folder. The completed packing slip and any invoices go in the acquisition specialist's folder with the date and your initials written on it.

3. If the mailing address has the name of a person from CCLIR on it

a.  Call or email the person to let them know that a package addressed to them had arrived and to pick it up from the mail area in Technical Services at their earliest convenience. You also can simply deliver the package to that person’s office if you choose to do so.

b.  Write the person's name and the date on the package/box and place it on the cart underneath the mail table.

c.  If this package was an expected delivery as indicated in the delivery folder, then recycle that paper.
