Procedures for Cataloging & Processing Stager Topics Materials

Purpose: 

This small-scale introduction of important topics is intended to acquaint students with the subject itself as well as provide instructions for expanding their search of that subject to the library stacks. As such, the steps for processing the Stager Topics books are unique to the collection.

Overview:

Materials from the MIT Press Essential Knowledge Series (MIT) and the Very Short Introductions Series (Oxford Academic) are labeled as Stager Topics and shelved alphabetically by Title on the first floor, alongside the Media collection. The intent of this collection is to provide an easily searchable starting point for a broad range of complex topics.

Required Knowledge/Skills

This procedure assumes a basic familiarity with editing on OCLC Connexion, Sierra and MARC tags, familiarity with LC classification, and access to the Shared Drive.

Equipment/Supplies

PC with OCLC Connexion software, OCLC FULL authorization number, the Sierra application, spine labels and printer, Stager Topics inside labels template, 4x2 labels (compatible with Avery #5163/8163).

Procedure

Cataloging

  1. Prefer DLC records over member input records. Prefer full records (Enc. Lvl= blank, 1 (one) or I (letter) over other encoding levels. If there is no OCLC record, flag the book for Stager Topics and place it on the appropriate shelf for a librarian to work on.
  2.  Check these fields prior to downloading OCLC records:
    1. 020 (ISBN) –If everything on the record matches the book except the 020, the
      variant 020 field may be added. Later printings and variant binding often have different ISBNs.
    2. 245 (Title)--Make sure every record has a “245” field and that it matches the
      title as it appears on the title page.
    3. 250 (Edition statement)–Make sure edition statements match what appears on the book. If they do not match, use a different record. Exception: Absence or presence of “First edition” or “Paperback edition” if that is the only difference.
    4. 260 subfield b (Publisher) – Make sure the publisher is the same as on the book, (either MIT Press or Oxford Academic) although it does not have to be worded exactly the same.
    5. 260 subfield c. (Year of publication) – Date in the record must match the date in the field. Ignore dates that are part of the CIP [cataloging in publication] description. Check these fields prior to downloading OCLC records:
    6. 300 (Description)--Make sure every record has pagination and size. Absence of this data indicates CIP cataloging, which is done by LC from galley proofs. Insert
      the number of pages before the “p”, and the height of the book before the “cm” in
      this field. You may accept records where the only difference is the size, if the
      size in the record is within two centimeters of the actual size.
    7. 4XX/8XX fields (Series) – The names of these two series (MIT Press Essential Knowledge Series and the Very Short Introduction Series) are stated on the books, if there are 4xx/8xx fields in the record that seem to be the same series, accept series
      statements and headings as is.

    8. 505 (Contents) – If contents notes are present, check them for accuracy. If not, add contents notes as well as delimiters and subfields to make the contents searchable (ǂt Title of the chapter/ ǂr Author McWriter)
  3. Accept 1XX, 6XX and 7XX fields as they are in the record.
  4. Apply constant data coded stagtopm (MIT Press) / stagtopv (VSI series) (<ctrl> u). Copy and paste the Sierra bib record number of the record to be overlayed into the 949 field. Make sure you close the record in Sierra before exporting the new record.
  5. On the second 949 field, highlight “[Barcode]” and scan to add the barcode.
  6. Update holdings in OCLC (F8) and export the record (F5).

Processing

  1. Apply tattle tape and stamp the top and bottom of the book.
  2. Open Sierra and search the item record.
  3. Make sure the inserted Call # note (099_ 9) at the bottom of the item record specifies “Stager Topics”
  4. Adjust the printer so “Stager Topics” is centered on the label
  5. Click the “Tools” menu at the top of the window and choose “Print Monographic Label” or type (Ctrl+L) to print a spine labela.
    1. The spine label should not have a LC call #
    2. The printed spine label should only read “Stager Topics”
  6. Affix the label to the spine of the book

Inside Label

  1.   Open the file named “Stager Topics inside labels” to access the template for editing. (S:Drive/CCLS:\CCLS\TechnicalServices\Labels)
  2.   Enter relevant information relating to other books that can be found on the same topic
    1. Floor (ex: _3rd_ )
    2. LC Call Number (BJ 1401)
  3.   Print the guide on a white 4x2 label
    1. Make sure the page orientation is always set to “Landscape”
    2. The text on labels should always be vertical
  4. Place the Inside Label on the inside of the book’s front cover 
    1. If the front cover folds in on itself, the resulting flap will obscure the label
    2.  If a flap is present, DO NOT place the label on the inside cover. Instead, place it on the title page, beneath any existing text 

  5. The Stager Topics collection is shelved alphabetically, by Title
