Procedures for Adding New Electronic Titles from GPO to Sierra

Purpose: Adding New Electronic Titles from GPO to Sierra
Overview: In September 2019, the Christopher Center Library stopped their subscription to Marcive for electronic GPO records. This procedure is how our catalog will remain current with electronic titles that are on the FDLP Selection Lister
Required Knowledge/Skills: Importing data into excel spreadsheet, accessing CLR's Government Documents item lister, exporting records from OCLC to Sierra
Equipment/Supplies: Excel, OCLC and Sierra

Choose the New Electronic Titles (NET) Monthly Archive for month (csv file)
Copy and Paste text into a Notepad doc and save on desktop
Import text data into excel spreadsheet
Delimit data by coma
Sort by item numbers
Send to Government Information Specialist
Government Information Specialist:
Open Item Lister at: https://selections.fdlp.gov/OA_HTML/gpolibItemLister.jsp
Search item numbers from NET Archive (provided via email) against Item Selection Profile to identify records that we need to get the OCLC record
With both the Item Lister page and the excel spreadsheet of new titles open, scroll through the item numbers on the provided spreadsheet. With each new item number listed, click over to the Item Lister page and using the browser’s “find on page” (Ctrl + F) feature, search for the listed item number
If the item appears on both the spreadsheet and Item Lister, write down the OCLC number and title info so those items can be added once the rest of the list has been searched
If the number does not appear in the Item lister skip that title as it is not part of our collection
Log in to OCLC Connexion
Using search box, type in OCLC number
Double check to make sure the record matches the title from the NET Archive Document
Add the constant data (ctrl + u)
In the 949 field, delete the overlay option (ov=^;), change initials to your own initials
Update holdings to reflect that IVU holds the particular title
Export record to Sierra (F5)
Copy the bib record number and check in Sierra to make sure everything is correct
Repeat for any additional records from the Item Lister that appeared in the NET Archive file
Send list of newly added bib record numbers to Cataloger for review
