Procedure: Copy Cataloging Music Scores

Purpose: This procedure provides guidance on accepting, reviewing and editing catalog copy for printed music scores. Our policy is to adopt DLC and high-quality member-input OCLC copy with as little editing as possible to speed up the cataloging process. The assumption is that this copy is of sufficient quality to serve our patrons.
Required Knowledge/Skills: This procedure assumes a basic cataloging familiarity with musical scores, Marc tags, editing on OCLC Connexion, and Sierra.
Equipment/supplies: Computer with OCLC Connexion software, OCLC FULL authorization number, and Sierra application.
Procedures:
Follow the procedures described in “Cataloging DLC copy.”
Records that meet the following criteria can be accepted as if they were DLC copy, with the exception that the call number must be checked against our collection to make sure it is not duplicated.
Check record to make sure it has:
a. Encoding level=I or L (full-level records), and
b. Description=a or i (AACR2 or (ISBD) punctuation). Prefer use of RDA forms when adding or editing elements of
field 300, e.g., spelling out non-transcribed abbreviations, except those that represent measurements of time and physical dimensions, and
c. OCLCQ or OCLCG (OCLC Quality Control) are in the 040 field.
OR
d. Encoding level=I or L (full-level records), and
e. Description=a or i (AACR2 or ISBD) punctuation, and
f. Any of the following library codes appear in the 040 field.

a. Review all descriptive fields for accuracy and completeness (245, 260, 3XX, 5XX, 02X). Correct any errors. Prefer use of RDA forms when adding or editing elements of field 300, e.g.,
spelling out non-transcribed abbreviations, except those that represent measurements of time and physical dimensions. Add contents notes as needed.
b. Review the need for additional title variant fields (246).
c. 730 fields. Accept as they are.
d. 740 fields. Convert them to 246 fields if appropriate.
e. Author fields. Accept all 1XX fields, including uniform titles as they are. Accept 7XX fields as they are, except the two noted above.
i. Search 4XX and 8XX first in Galileo to see if we have an authority record for the titles and/or bib records with established practice. If so, modify the record in hand to
match.
ii. If there is no established practice in Galileo, search the OCLC authority file for an authority record. Modify the record in hand to match the OCLC authority record.
iii. If there are no OCLC or Galileo records to guide you, consult a librarian for series treatment.
i. Search any 653 fields in Galileo or the OCLC authority file to see if the field can be changed to a 650 0. If not, delete it.
ii. Look at 650 0 fields. If they seem appropriate to the work, accept them. If the headings seem inadequate, consult a librarian. This should be done rarely.
i. If the series is to be classified together, use that call number.
ii. If not, search the call number in the record without the Cutter against Galileo. Check first to see if we have other books in that classification. If so, browse the records
in that number. If subject or work of the item in hand is similar to the other materials we already have in that classification, go to the next step (iii below).
If not, or if we do not have any other records in that classification, consult a librarian.
iii. If we are going to accept the classification from the member input library, check the Cutter against our records to make sure it is not duplicated. If it is duplicated,
modify the Cutter on the new record to make it different from the one already in the collection.
