Policies for Authorization for Cataloging or Withdrawal

Policy: Authorization for Cataloging or Withdrawal

The purpose of this statement is to document and communicate a policy that was established to avoid confusion for Technical Services staff,
and to prevent mistakes in adding or withdrawing items from the collection. This policy was first put into practice in June 2006.

Cataloging

Technical Services will receive and catalog items when:

A. There is a current order record for the item in Galileo, or

B. The item has a gift slip inserted that includes a librarian’s initials indicating that the item is to be cataloged for the collection, or

C. The item was received as part of our government depository program. Print materials over 25 pages will be reclassified into the general collection.

Items found in Technical Services that do not meet one of these criteria will be returned to either Acquisitions or the gift shelves.

Withdrawal

Technical Services will withdraw items when:

A. There is a withdrawal slip or note inserted that includes the initials of the librarian responsible for the collection 

B. The item is on clearly labeled truck of only items to be withdrawn, and marked with a W on the top. It is assumed that only the librarians will
responsible for their portion of the collection will pull and mark materials for weeding.

C. Note: Government depository items received within the last five years cannot be withdrawn. All other materials can be withdrawn after four years in the collection, if there are sound reasons for doing so.
