Enrollment Verification and Degree Verification FAQ

Question:

Does Valparaiso University charge a fee for enrollment or degree verification?

Answer:
No. This is a free service to current students and alumni.


Question:

How long will it take to process my request?

Answer:
Please allow at least three to five business days from the date the request is received by the Office of the Registrar. If you have an outstanding obligation, depending on how quickly you resolve the hold, your request may take more than five business days. If requested during peak times (such as the beginning of the semester, end of the semester, pre-registration period, and graduation season), your request may take longer.


Question:

If there is a hold on my account, how will I know?

Answer:

All current students can view holds online. Please see the Student Restrictions or Account Holds article for assistance.

If your account has a hold when you submit your verification paperwork, you will be notified immediately by email of the hold and the office(s) that have placed holds on your account. Please resolve any outstanding obligations with the applicable offices before submitting a verification request. We are unable to release verification information to students or alumni with any outstanding obligation to Valparaiso University.


Question:

May a third-party request an enrollment or degree verification?

Answer:

Third parties may obtain an enrollment or degree verification from the National Student Clearinghouse at nscverifications.org. If the third party chooses to not use the National Student Clearinghouse or is unable to find your information, then they must provide the Office of the Registrar with a signed consent form from you, the student. This may be mailed or emailed to the Office of the Registrar.

Question:

Will the enrollment or degree verification letters have the University Seal and/or Registrar's signature?

Answer:

All enrollment or degree verification letters produced by the Office of the Registrar will be on official Valparaiso University letterhead and will have the signature of the appropriate staff member.


Question:

May I request that the enrollment or degree verification letter have a more official appearance than the letterhead and Registrar’s signature?

Answer:

Yes, you may request that the letter be notarized; however, notarization may lengthen the processing of your request.


Question:

How will the enrollment verification letter issued by the National Student Clearinghouse be identified as an official document?

Answer:

The National Student Clearinghouse letter will bear a transaction ID, date, and disclaimer statement attesting to its validity as an official document approved by Valparaiso University.


Question:

I've submitted my nursing board form to confirm my graduation. When will it be processed?

Answer:

For those students who have already graduated, the nursing board form will adhere to the same guidelines as the Verification Request (allow three to five business days for processing and all holds resolved). 

For those students who are pending graduation, the nursing board form will be processed approximately one week after all final grades for the term are received by the Office of the Registrar.


Question:

How do I request assistance from the Office of the Registrar with a form for a good student discount, loan deferment, or insurance?

Answer:

Be sure that you have completed the appropriate sections that must be completed by the student and that you have signed the form if your signature is required. Attach this form to the Student Verification Request to grant Valparaiso University permission to release your information. Be sure to also indicate the method of delivery (mailing address, pick up in person, email, or fax).

Question:

I will be taking a course during the summer at another institution that requires a guest student application. Is the Office of the Registrar the correct department to complete the form?

Answer:

Yes. The Office of the Registrar must complete any document that asks for verification of enrollment, good academic standing, degree information, etc. Your advisor, college, or International Programs may not complete any document that requires verification of the aforementioned information. You will need to also complete the Student Verification Request form.

Students needing to provide verification of Valparaiso University approved transfer equivalencies to a third party must keep a copy of their Transfer Credit Request form. Once this form is turned in to the Office of the Registrar, no copies will be provided to students, nor will the Office of the Registrar write a verification letter containing information about approved transfer equivalencies or courses taken at a different university.


Question:

May an office other than the Registrar complete verification paperwork?

Answer:

No. The Office of the Registrar is the appropriate office to verify any information regarding a student’s enrollment, degree, academic standing, and other related items.


Question:

I am an alum. How do I request enrollment or degree verification?

Answer:

Both current students and alumni are required to use the options on the Resources & Services menu to request enrollment or degree verification.
