Assign or Modify a Task in Perceptive
Many of the task assignments in Perceptive Content are generated via scripting, but it is also possible to manually assign a task to another user or group of users.
Step-by-step guide to manually assign a task
Task Template is needed
A Task Template must be created for assigning a task. Please contact helpdesk@valpo.edu for assistance with creating a Task Template. I
Open the document in workflow that needs to have a task assigned to another user.
Be sure that the user who needs to assign has the Task icon enabled on their toolbar
From the main menu, select 'View', then Toolbars, and be sure the checkmark next to Tasks is checked
Right click the task icon , select the template you want to assign
With the document open, right click the 'clipboard' icon (red ribbon = signature, green check = document deficiency) to see the task templates available for use
Select the appropriate Task Template
If you are unsure of which task template to use, please ask via Help Desk or to the EP&P team. Some templates have specialized scripting.
Add either an individual user or a group to assign the task on the Assignment tab
You can select whether EACH group member needs to complete the task or ANY group member can complete.
If you want tasks assigned in a sequence, select 'Set series as a hierarchy', and click the + sign next to Level 1 to add additional levels.
You will add a User or Group at each level to indicate the sequence the tasks should be completed.
The due date will default based on the template setting, but you may select another date.
Instructions or Comments may be added on the Options tab
Click OK to assign the task. The assigned person(s) will be sent an email with a link to the document to complete their review.
Modify or Delete a Task
Search for the Task that needs to be modified using the ‘Tasks’ menu, and then search criteria (often ‘Assigned To’)
If looking at a document, ensure that the Task View is toggled on via the ‘View’ menu
Once in the task view, you can use the pencil icon to edit, the person icon to change assignee, or the red X icon to delete the task.
Please be mindful of potential implications to any of these, and ask if you are uncertain or do not have the correct permissions.
Some task templates have broader implications for workflow (the Approval Task in Registrar queue, for example). If you are uncertain of which template to use, please reach out to helpdesk@valpo.edu for support and assistance.
