Dean Approval for Student Requests for Office of the Registrar

Dean approvals are primarily handled via workflow queues rather than task assignments, like for instructors, advisors, and department chairs. Instructions for Task Assignments can be found here.

Step-by-step guide

  1. Student requests will arrive in your workflow queue after being reviewed by advisors, instructors, or department chairs.
    1. Note: at the moment, in Colleges where there are not department chairs, those tasks will still be assigned to deans. We are working on a solution to this.
  2. You will receive an email notification two times per day, (every twelve hours) if there are items to be reviewed
  3. Follow the link in the email, or log into Perceptive directly (also available via the Administrative Links site)
  4. Login using your standard Valpo credentials (short username & password)
  5. Select Workflow from the main page
  6. Then select the Workflow Queue for your College and/or Academic Level
  7. Select the document you want to review/approve from the list and click to open.
  8. Apply a Text Stamp to indicate your decision or recommendation on the document.

    2. You may also add notes using this process.
  9. When you are finished reviewing and have added your text stamp, route the document forward by clicking the icon below.
    1. If you are presented an option after clicking Route Forward, select 'Conditional' (this refers to the routing rule, not a conditional approval)
  10. The document will now be sent to the Registrar for processing, or to CAPS or the Provost if the request requires further review.
  11. If there are more documents in your queue to be reviewed, the next document will open automatically
  12. If you want to close a document without completing the review, select the 'Back' button in the upper left corner. You can also click the 'Save' button if you have added notes, but are not ready to complete.
