Procedure: Community Room Open 24 Hours
Purpose: This procedure is in place to provide students a study space leading up to finals every semester.
Overview: The Weekend Circulation Manager will communicate with the Union Scheduling staff at the weekly Logistics meetings when the Community Room will be open 24 hours. Other departments on campus including VUPD and Building Services should be notified as well of the change.

Procedure:
1. Leading up to finals week every semester the Community Room will transition to being open 24 hours in order to support the need of a place
to study for our students.
2. Three weeks before finals begin, the Circulation Manager that attends the weekly Logistics meeting at the Union should inform the staff at
that meeting of the change in schedule.

3. Other departments that should be notified of this change include:
a. VUPD
b. Night manager should inform overnight cleaning crew manager to ensure they are aware of the change.
4. This scheduling change also involves the standard setup changing from 3 round tables with 10 chairs at each to a standard setup of 6 round
tables with 10 chairs at each for a total seating capacity of 60 students.
5. The first day of the Community Room being open 24 hours the sign that informs students of this change should be placed at the interior
entrance doors on the 2nd floor on an easel.
a. Sign is located in ASRS area behind the short bookshelf and is on a cardboard backing.
b. Easels are also located in the ASRS area.
6. When finals are over, the sign and easel can be returned to the ASRS area and the departments impacted should be notified of the return to
normal schedule for that room.
