Purpose:

Occasionally a patron will end up with two records. These need to be merged into one record to allow for checking out materialsThis will allow patrons to request items that are currently available and up in the stacks or the ASRS. Circulation is responsible for pulling these items and placing them on hold once a day.

Overview:

Sometimes Sierra will upload extra records for a single patron. These records need to be merged together into a single entry.Circulation will now be responsible for pulling items listed as available in the catalog and placing them on hold daily at opening.

SierraFOLIO access, printer access, and basic Excel knowledge

Equipment/Supplies:

Computer with, patron numbers from both accounts to be merged together., Printer, FOLIO access

Procedure

1. In Sierra look up patron with multiple records.

2. Select one record

3. Click the button marked ‘Edit’.

4. On the top of the pop-up screen it will say “Edit Patron Record. pXXXXXXX.

a. The “x”s represents the patron number that will be needed. Copy this down from each of the patron’s records.

b. Choose a single record to be the main record used. (I would use the one with the most items currently checked out.)

5. Using the left side menu on the Sierra program choose the 16th icon labeled “Merge Patrons”.

6. Enter the patron number that is not the main number as the “FROM” record.

7. Enter the patron number that is the main number as the “TO” record.

8. If both records match and can be merged the “Merge Patrons” button on the upper right-hand side of the screen will become clickable. Click the “Merge Patrons” button.

9. If you are sure that these two records should be merged together select the “YES” button on the pop-up screen
  1. In FOLIO under ‘Requests’ click on Pages and Open-Not yet filled in the Search & filter side menu.
  2. Under Actions choose Export to CSV
  3. On the downloaded CSV the only columns needed are Barcode, Title, Contributor, Effective location, Effective call number, Volume, copy number if required, and requestor name, all others can be deleted.
  4. Print the sheet and have a student pull the books from the stacks
  5. For items that are stored in the ASRS follow the “Pulling items from Dematic Database” procedure
  6. In FOLIO Requests place items on hold and check them in to initiate the hold pickup email.
  7. Write the requestor's last name on a paper slip.
