The Dean/Department Head's first responsibility in the job posting request process is to identify a specific vacancy, either through the establishment of a new position or the potential vacancy of another position. Any recruitment action must have the proper budgetary and organizational clearances and approvals to be filled.

Step-by-step guide

Department’s Role - The Dean/Department Head or persons assigned by the Dean/Department Head must complete the following steps to request a job posting:

  • Review the position’s current Position Description Questionnaire (PDQ) to ensure it is accurate and up to date.
    • If the PDQ is not accurate and up to date, the Dean/Department Head must update the PDQ.
  • Complete a Job Posting Request Form (JPRF), the JPRF must be completely filled out including:
    • Job Title
    • General Ledger Number
    • Position Number
    • Details regarding and special requirements
  • Complete a Written Approval Request Form.
  • Review the Departmental organization chart and update as needed.
  • Send completed and signed copies of the following forms to the Office of Human Resources via email at Human.Resources@Valpo.edu.
    • Position Description Questionnaire
    • Job Posting Request Form
    • Written Approval Request Form
    • Departmental Organizational Chart

The Office of Human Resource Services’ Role

  • The Office of Human Resource Services will forward the job posting request and all corresponding forms to the Finance Department and Job Posting Committee for approval.
  • If the job posting is approved, the Office of Human Resource Services will post the job on the Valparaiso University website.
    • The job posting must be posted on the Valparaiso University website for at least a one-week period.
    • The job posting will remain posted on the Valparaiso University website until the Dean/Department Head emails the Office of Human Resource Services at Human.Resources@Valpo.edu and requests that the job posting be taken down.
  • If the job posting is not approved, the Office of Human Resource Services will notify the Dean/Department Head.
