Department: Circulation

Procedure: Circulation Notices

Purpose: Sending out notices for various items.

Overview: The Circulation Desk sends out notices to alert patrons about due dates, held items, and bills.

Required Knowledge/Skills: Sierra

Safety Issues/Precautions: N/A

Equipment/Supplies: Computer with Sierra and printer

Procedure

1. The eighth item down the left side of the Sierra screen is for notices. Select that icon.

2. The ‘Notice Type’ is set for “Overdue” to start with.

3. Change “Email Subject (Default)” to option #5 ‘Christopher Center Overdue Notice’.

4. You will be asked to select a printer. Choose the current printer located at Circulation. (Currently ‘Dell 5330dn Mono Laser Printer (Copy 1)’)

5. Click button in the middle of screen labeled “Prepare Notices”.

6. Click button in the middle left of screen labeled “Send Notices”. This will send the email notices.

7. You will be asked if you want to clear all email notices, choose yes.

8. Once those have been sent it will take you to the screen to send the printed notices. Again click the button in the middle left
of the screen labeled “Send Notices”.

9. You will be asked if you want to clear all print notices, choose yes.

10. Click the close button on the upper right of the screen. (Not the ‘X’ to close the Sierra program.)

11. Change ‘Notice Type’ to “Recall”.

12. Change “Email Subject (Default)” to option #4 ‘Christopher Center Material(s) Recall”.

13. Follow steps 5-10.

14. Change ‘Notice Type’ to “Hold Pickup Only”.

15. Change “Email Subject (Default)” to option #3 ‘Christopher Center Library item(s) ready for pickup”.

16. Follow steps 5-10.

17. Change ‘Notice Type’ to “Hold Cancellation Only”.

18. Change “Email Subject (Default)” to option #1 ‘Christopher Center Friendly Reminder”.

19. Follow steps 5-10.

20. Change ‘Notice Type’ to “Bills”.

21. Change “Email Subject (Default)” to option #7 ‘Christopher Center Bill.”

22. Follow steps 5-10.

23. Once all steps have been followed retrieve printed notices from printer. Fold page into thirds hiding the message of the
notice, but not the address.

24. Tape the notice closed on top and bottom.

25. Place printed notice(s) in the outgoing mail tub(s) located on the first floor next to the door into Technical Services. Campus
mail goes into its own tub as does off campus mail without postage.
