CAS - How to Run GLBR and Export YTD Data
Academic departments within the College of Arts and Sciences use the GLBR report in Colleague to pull end-of-year financial data for reporting purposes. Information from this report is included in the Department Annual Report typically due in early Fall. More information on the Annual Report is found on the CAS intranet.
Complete an ITicket to obtain access to the GLBR screen in Colleague if you do not already have access.
Step-by-step Guide
1. Navigate to Colleague
2. Type GLBR in the Search for a Form menu. Click on the looking glass icon.
3. Complete the highlighted form fields as listed below, being sure to input the fiscal year you would like to report on.
4. Next, click on the white paper icon next to GL Account Definition to enter the GL you would like to report on.
5. Click on the white paper to progress to the next screen where GL information is entered.
6. Enter I in for Include in the fields highlighted yellow. Enter department GL in the fields highlighted green. Enter N in the field highlighted blue. Click Save and Update.
7. Click on the white paper icon to progress to the next screen.
8. Enter Y on the second line as pictured below. Click Save and Update. Then, click Save and Update a second time.
9. The main GLBR screen will appear again. Click Save and Update.
10. Make sure H is entered in the Output Device field. Click Save and Update.
11. Colleague will generate the report. When complete, click Finish. Next, download the spreadsheet.
12. Open the spreadsheet. Highlight the entire Excel Spreadsheet by clicking in left corner next to the A. Next, from the Home tab on the Excel menu bar, click on the drop down menu on Format and select AutoFit Column Width. This will ensure every column of data easily appears.
13. Data is now available in Excel and may be sorted and used for reporting. Note, the spreadsheet is in .csv format. Be sure to save it as an Excel workbook when finished.
