Defining Campus Roles and Access

Campus Roles are important to IT systems as they determine what individuals are permitted to have access to. When a person is no longer affiliated with the university, access to accounts will be removed. This document describes the different types of roles and what they have access to. Please refer to the Valparaiso University Employee IT Account Policy for further details.

Role Definitions

None

This is not actually a role, but will display if the person has no primary role set.  This indicates that they held an active role in the past, but currently don't fall into any of the other categories.  This could be and admit who decided not to attend, a student that left without completing a single credit, or a staff/faculty member that no longer works here and wasn't granted retiree status. This status is NOT entitled to any account, including email.

Alumnus Accounts

Graduated from the university.  If graduation date was before 2012 they may need to complete an alumni account request to add this role.  Role is automatically applied to future grads.

Will have AD and limited Google accounts.

Alumnus Non-Degree

Completed at least one credit but did not graduate.  If the person was last enrolled in 2012 or before they may need to complete an alumni account request to add this role.  Role is automatically applied to students who leave the university.

Will have AD and limited Google accounts.

Alumnus

Graduated pre-2012, or last attended pre-2012.  A person with this role must fill out an alumni account request to transition to one of the above roles.

No accounts.

Other

Not technically an employee of the university but needs accounts for business related to the university.

Will have AD and Google accounts.

Retiree

No longer works for the university but was granted retiree status.

Will have AD and Google accounts.

Admit

Has been accepted to the university for an upcoming semester.  Has not yet transitioned to student.

Will have AD and Google accounts, but are only given credentials for financial aid, or for FOCUS.

Student

Has an active program.  The admit role will transition to a student role once their program is activated and they either register for class, or register to attend FOCUS.

Will have AD and Google accounts.

Faculty

Active university employee.  Primary position is a faculty position.  Some faculty may also have a secondary 'staff' role.

Will have AD and Google accounts.

Staff

Active university employee.  Primary position is a staff position.  Some staff may also have a secondary 'faculty' role.

Will have AD and Google accounts.
