Submitting a Proposal to Campus Planning and Space Allocation Committee (CPSAC)

Purpose

This procedure assists with submitting a CCLIR-related proposal to CPSAC. Note: The Dean of the Library must first approve of the proposal before submitting it to CPSAC. It is also important to provide the dean with regular updates.

Overview

Library staff often apply for Guild Grants and other funding entities in order to enhance and grow the CCLIR building spaces. Space changes require approval from the CPSAC before implementation. This procedural document assists staff with the submission process.

Procedure

  1. Default to the project initiation form as the standard for completing and submitting proposals to the CPSAC. The form may be accessed from https://www.valpo.edu/facilities-management/capital-planning-and-projects/. The form may also be accessed from S:\CCLS\All Staff\Project Initiation Form and Instructions folder. This form provides a place for administrators to approve and sign. All information needed to explain the project is provided on the form. There is no need to create a new document.
  2. In the event that the proposal does not need a project initiation form, a one-page document explaining the purpose of the project, timeline, and budget would be accepted.
  3. The proposal form or one-page document must first be submitted to the Dean of the Library for approval. Regular updates regarding the proposal also need to be shared with the Dean of the Library.
  4. Once approved, the proposal form or one-page document may be submitted by email to any CPSAC member. See S:\CCLS\All Staff\Project Initiation Form and Instructions folder for the current committee member list.
