VSCW Reception Monographs Policy
The Valpo Scholarship and Creative Works Reception (formerly the Valpo Authors Reception) is an annual event sponsored by the Library in the month of either April or May. The Administrative Assistant and the Scholarly Communication Services Librarian keep track of submissions and notify the Acquisitions Specialist of books.

Guidelines for author submissions:
• Have been published between January 1 and December 31 of the previous year.
• Are authored, edited, or translated by Valparaiso University faculty, staff, students, retirees, or emeriti
• Are published in print
The books may be:
• Jointly authored, edited or translated, OR
• New editions that have been previously honored if more than 30% of the book is new material
• Monographs/books chapters written by VU authors will not be considered for purchase in this process, unless a VU faculty/staff is also the book's editor
SELECTOR AND ACQUISITIONS DUTIES:
• Acquisitions is notified of orders through the usual channels: GOBI or an email with the title, author, and ISBN. See below for information on notes indicating that it is for the VSCW Reception and author's relationship to Valpo.
• Only get one copy (for archives) unless specified otherwise. If the liaison wants a copy for the circulating stacks, they will order it through the normal channels and it will be added as a copy 2. (On the form, it asks the author if they are donating a copy. If so, that will be copy 2, the circulating copy.)
• Order using subaccount 5552-10 in GOBI. Add note: “For VSCW Reception [year]. Faculty [staff, alumni] publication [name of person, if book has more than one author, editor, etc.]". This copy will be signed by the author at the reception.
• Use archives monograph fund (arch). Scholarly Communication Services Librarian is authorized to use this fund.
Additional notes:
• If it's a law book and the law school already owns a copy, we only need to get one for archives.
• Citation information for books containing only chapters written by VU authors, but does not have a VU author as the book editor will be forwarded to the relevant subject liaison for purchase consideration, using department funds. The ARCH fund is not to be used to purchase VU book chapter/entries.
• If the liaison does order the book, using department funds, please insert the following note into the order record: "For VSCW Reception [year]. Faculty [staff, alumni] book chapter/entry [name of person, if book has more than one author, editor, etc.]"
