Active Distribution of Departmental Organizational Chart and CCLIR Phone Extensions
Purpose
This procedure establishes a practice whereby we annually update our organizational chart and phone extension list.
Overview
During June – August months, we may need to add Colleague information to our organizational chart and phone extension list. This procedure explains when and how the updates will be communicated to building employees.
Required Knowledge/Skills
Microsoft Publisher training and S:/CCLS/All Staff network access (Administrative Assistant)
Equipment/Supplies
Networked PC with the above software (Administrative Assistant)
Procedure
Either at the end of August or early September, the Library Administrative Assistant will send the most current Library organizational chart and CCLS and CCLIR phone extension list as an attachment in an All CCLIR email to all building employees.
The Administrative Assistant will not send out a new organization chart and phone list when an employee leaves since we will be issuing a new organizational chart with the new colleague’s name, position, and phone extension noted within a short period of time.
The Library organizational chart and CCLIR phone extensions may be accessed at any time by Library employees from the following locations: S:\CCLS\All Staff\CCLS Org Charts\ (older charts are saved there as well) and S:\CCLS\All Staff\Staff Phone List\CCLIR Library Staff (only) Phone List and S:\CCLS\All Staff\CCLIR All Staff Phone List
