Purpose:

To give an overview of the timeline for the OER award

Overview:

This document gives the template timeline for awarding the OER award each year.

Responsibility:

Scholarly Communication Committee (or Director of Collections and Digitization, if the committee is dormant)

Timeline:

January 15 - March 15: Applications are open

March 15 - April 15: Applications are reviewed by the Scholarly Communication Committee

April 16 or so: Recommendations for new awards are sent to the Dean of the Library.

May 1 or so: New awards are announced at the Valparaiso University Scholarship and Creative Works Reception

May 2 - May 23: Meet with new award winners, in order to plan their OER projects

June 30: Check-in with new award winners via email

July 1 - July 31: Create Yearly Report on OER projects for Dean of the Library

August 1: Send Yearly Report to Dean of the Library

August 5 (or January 5 for Spring pilot semesters): Check-in with new award winners via email

October 1 (or March 1 for Spring pilot semesters): Check-in with new award winners via email

November 15 (or April 1 for Spring pilot semesters): Send Student Feedback Questionnaire to award winners for review

November 22 - December 1 (or April 1-April 15 for Spring pilot semesters): Revise Questionnaire, if needed

December 1 (or April 15 for Spring pilot semesters): Disseminate Student Feedback Questionnaire to award winners for dissemination to relevant students (faculty must confirm that they have disseminated questionnaire to students)

December 2 - December 9 (or April 22-29 for Spring pilot semesters): Complete Project Review Form for each project

December 10 (or May 1 for Spring pilot semesters): Send Project Review Forms and Applications to Dean of the Library and cc Administrative Assistant to the Dean of the Library

December 11 - December 20 (or May 1-10 for Spring pilot semesters): Notify award winners that payroll form is available to sign – this is the last step before funds are released to award winners*


*If the awardee leaves the university in the middle of this timeline, they can be compensated for up to half of their original award amount. If another instructor takes over the award mid-semester and completes the necessary work, they can be compensated for up to half of their original award amount.
