Generating Reports for Phi Beta Kappa PBK Eligibility

Generating Reports for determining Phi Beta Kappa eligibility - will typically be requested by the Advisor for the Phi Beta Kappa Chapter early in the Spring semester.

The following Informer Reports contribute to the data generated:

Current Students

REG - PBK Students - this report queries on any student who has taken a course of the TYPE PBK (Course Types are stored in Colleague at the CRSE level). Calculates the number of PBK credits completed, and the GPA of those credits. Transfer credits are included in the number of PBK credits, but are excluded in calculation of the PBK GPA.

ACAD - PBK Currently Enrolled - reports on courses of the TYPE PBK that students are currently enrolled in

ACAD - World Language for PBK - reports on all world language courses taken by students who have taken any PBK courses at the 203 and 204 level. This report is used for calculating previously completed courses as well as currently enrolled.

Recent Graduates

REG - PBK Graduates Updated April 2024 - report of graduates, this version has fewer columns and includes a GPA filter

REG - PBK Graduates - report of graduates, this version does not filter for GPA

 

Process

  1. Run the REG - PBK Students report with the current term, and Status of 'R'

    1. Export to CSV, save as XLS

  2. Run the ACAD - World Language for PBK report (review the Subject match selection criteria, some of the world language subjects may eventually be removed if current students/recent graduates would not have taken them)

    1. Export to CSV, save as XLS

    2. Generate a Pivot Table of this report with ID as the Row, and Course as the Columns, with Sum of Credits as Value.

    3. Make a copy of the original report, filter for all but the current term and delete those rows.

  3. Run the ACAD - PBK Currently Enrolled report

    1. Generate a Pivot Table of this report with ID as Row, Sum of Credits as Value

  4. In the REG - PBK Students report:

    1. Add a VLookup to pull in the World Language sum of credits using ID (2.b.)

    2. Add a VLookup to pull in the World Language currently enrolled (2.c.)

    3. Add a VLookup to pull in the PBK Currently Enrolled (3.a.)

  5. Run the REG - PBK Graduates report (see notes above about different versions)

    1. Export to CSV, save as XLS

  6. Share with Advisor to be reviewed and filtered for PBK elibigility
