Copiers are available for public use on

the second through the fourth floors of the Christopher Center. There is also an office copier located in Technical Services. The Circulation Desk is responsible for clearing jams, replacing toner, restocking paper, collecting statistics, ordering supplies, and scheduling maintenance for the public copiers.

Overview:

The three (3) copiers for public use as well as the copier located in Technical Services are maintained by the Circulation staff. We will change toner, clear jams, replenish paper (to the public copiers only), collect statistics, and order supplies/maintenance as required.

Procedure

1. Clearing a Jam:

a. The location of the jam and steps needed to clear it will be displayed on the copier’s screen.

b. Follow instructions on the machine.

c. If the jam cannot be removed:

i. Place “Out of Order” sign on the copier.

ii. Contact McShane’s at 1-800-837-1400

iii. Ask for service

iv. Give the University and Christopher Center name

v. Verify open hours

vi. Give the red identification number on the machine

2. Replacing the Toner/Waste Toner bottle:

a. Machine will tell you when toner is out or waste toner bottle is full.

b. Follow instructions on the toner box for replacement.

c. Lay empty toner box on day manager’s desk for reorder.

3. Restocking paper

a. Machine will tell you when the paper tray is full.

b. 2nd, & 4th floors have paper in cabinets of Copier room. 3rd floor will need to have paper brought to it from one of the
other Copier rooms.

c. Depress the green button on the copier for the empty paper tray.

d. Retrieve a ream of paper from the cabinet.

e. Remove paper from the cover and place in the empty paper tray, making sure it does not go over the top of the tray. Any excess paper
may be left on the counter.

f. Close the paper tray and wait until it has finished lifting. (Noise will stop.)

4. Collecting Statistics:

a. Quarterly, an email will be sent asking for statistics from the copiers

b. Denote the machines red identification number.

from the copy company. We only provide numbers for the third and fourth floors, the second floor copier sends the information directly to the company.

b. After turning on the machine push the button for ‘Counter Check’

i. Technical Services copier will be listed under the “Additional Functions” button

ii. Find ‘Counter’ and push “OK”.

d. Denote the number on the top line.

i. For second-floor copier denote the 101 Total & 108 Total Black numbers.

ii. Subtract the numbers

e. Email the totals to Dee Parker along with the machines red identification numbers

i. Include the subtracted total from the second floor copier.

once the number has been written down, press "oK'

c. Using the link in the email fill in the count numbers in the corresponding boxes

d. Click 'submit'

5. Ordering supplies

a. Toner/Waste Toner Bottle

i. Contact McShane’s @ 1-800-837-1400

ii. Ask for supplies

iii. Give the University and Christopher Center name

iv. Verify hours open

v. Give the red identification number on the machine

vi. Order the toner needed

vii. Give the name and phone number

b. Paper

i. Count the amount of paper needed in the cabinets

ii. Contact the Acquisitions department

iii. Order the amount of paper needed

6. Scheduling maintenance

a. Place the “Out of Order” sign on the machine

b. Contact McShane’s at 1-800-837-1400

c. Ask for service
